What software do you use?

We primarily use QuickBooks Online for all bookkeeping services. Our team consists of certified QuickBooks ProAdvisors who are experts in maximizing the platform’s capabilities. QuickBooks Online is cloud-based, secure, and accessible from anywhere, making it perfect for modern businesses. We can also work with other accounting software if your business already has an established system.

What do I need to provide to get started?

To get started, we’ll need:

• Access to your bank accounts and credit card statements (read-only)
• Previous financial statements (if available)
• Information about your business structure and tax ID
• Any invoices, receipts, or expense documentation
• Access to your QuickBooks Online account (or we can set one up for you)

We’ll guide you through the entire onboarding process and make it as simple as possible.

How does the onboarding process work?

Our onboarding process is straightforward and typically takes 1-2 weeks:

1. Discovery Call: We discuss your business needs, goals, and current financial situation
2. Proposal & Agreement: We provide a customized proposal and service agreement
3. Setup: We configure QuickBooks, connect bank accounts, and establish your chart of accounts
4. Historical Cleanup: If needed, we catch up on past transactions and reconciliations
5. Go Live: We begin regular monthly bookkeeping services

How often will we communicate?

Communication frequency depends on your plan:

• Basic Plan: Monthly email summary of your financials
• Core Plan: Monthly financial review call plus email/phone support as needed
• Advanced Plan: Weekly check-ins, monthly review calls, and quarterly business reviews

Regardless of your plan, we’re always available via email and phone for questions or urgent matters.

Can you help with tax preparation?

While we don’t prepare or file taxes directly, we work closely with your CPA or tax preparer to ensure they have clean, accurate financial records. Our organized books make tax season much smoother and less stressful. We can also provide referrals to trusted tax professionals if you need one.

How secure is my financial data?

We take data security very seriously. All data is stored in QuickBooks Online, which uses bank-level encryption and security protocols. We follow industry best practices including:

No problem! Our Cleanup & Catch-Up services are designed specifically for businesses that have fallen behind. We’ll assess the scope of work needed, provide a quote, and get your books up to date quickly. Most cleanup projects are completed within 2-4 weeks, depending on the volume and complexity.

Can I upgrade or downgrade my plan?

Absolutely! Your business needs may change over time, and we’re flexible. You can upgrade or downgrade your plan at any time with 30 days’ notice. We’ll work with you to ensure a smooth transition.
